CANCER ABSTRACTING SERVICES

The law is clear. All cases of patients receiving cancer management services (diagnosed since January 1, 1995) must be reported to the state by the treatment facility, unless previously reported. This includes all diseases indicated in the most current version of the International Classification of Diseases for Oncology (ICD-O-3) with a behavior code of 2 or higher. Once Southeast Medical Registry collects demographic, cancer identification, treatment and last contact information on each eligible cancer patient, we submit the required data (either electronically in a standardized format or as photocopies of medical records) as outlined in the case finding manual. Optimal cancer program and administrative planning allows our business partners to better allocate their resources overall. CANCER MANAGEMENT

We provide the necessary staffing for the management and performance of all daily cancer registry functions as well as abstracting. Ensuring that your facility's Cancer Registry operations, policies and procedures are always in compliance with Commission on Cancer (CoC), JCAHO, state and federal standards is one of our highest priorities.

COMMISSION ON CANCER (ACoS) SURVEY PREPARATIONS / APPROVALS

In today's competitive oncology market, facilities must provide superior patient services in order to be recognized as an industry leader. One of the most impressive and respected designations is the CoC American College of Surgeons (ACoS) approval of a cancer program. Each hospital with more than 300 new cases are eligible for survey, which reflects the quality of patient care. Approved programs provide cancer patients with a full range of diagnostic, treatment and supportive services either on-site at the facility or by referral. The CoC recommends that all facilities seeking initial ACoS approval have their cancer program evaluated by a trained consultant prior to scheduling its survey. In order to maintain its ACoS approval, a facility must minimally adhere to the CoC's mandatory standards for its approval category and undergo survey every three years. Maintaining cancer program compliance without a qualified experienced oncology data manager (CTR) on staff is extremely difficult. That is where SMR steps in to keep your facility compliant while enhancing your marketing capabilities with this designation.

PRODUCTION OF CANCER CARE ANNUAL REPORTS

Southeast Medical Registry assists your facility with the narrative draft and statistical review for your Cancer Care annual report. Our diligent team members ensure that your required yearly report meets stringent content requirements such as the narrative summary by a physician; report of registry activity; statistical summary of registry data for the calendar year; and a detailed statistical analysis of at least one major cancer site.

CANCER CONFERENCE COORDINATION

We will coordinate the necessary physician representation from all appropriate disciplines (surgery, medical oncology, diagnostic radiology, radiation oncology, and pathology) required for participation in Cancer Conferences. The frequency of meetings is determined by the category of approval. For example, two conferences each month are required in a community hospital where annual analytic accessions exceed 500 while institutions with 750 analytic cases a year are required to meet weekly at the comprehensive category level.

SPECIAL STUDIES

Our team will coordinate clinical trials for facilities whose cancer program annually assesses at least 750 analytic cases. These treatment facilities must enter the equivalent of 2% of the number of annual analytic cases on clinical research trials each year. For commendation, the equivalent of 6% of the number of annual analytic cases must be enter clinical trials on an annual basis. Our registry staff works with physicians to prepare the case presentations vital to this process.

CANCER COMMITTEE COORDINATION Southeast Medical Registry helps your facility coordinate cancer committee responsibilities including:
